Pool Maintenance Cost: Pricing Recurring Service Profitably
Recurring maintenance should be priced around the average resources the account consumes across the service cycle, not just the quickest visit. Route density, testing, chemical dosing, filter work, seasonal debris and customer communication all affect the true monthly economics.
Recurring accounts are a capacity decision
A recurring account occupies a regular place in the route. Price it using realistic visit frequency, travel, technician time and chemical demand rather than assuming every visit will be identical.
Main recurring cost drivers
Route density
Nearby accounts increase paid work per day. Widely separated accounts can make a seemingly good visit price perform poorly.
Chemical demand
Track actual dosing by account and season. Pools with persistent demand should not be subsidised by easy accounts.
Testing and filter work
Reagents, cleaning tasks and periodic deeper maintenance should be represented across the service cycle.
Seasonality
Storms, debris, heat and bather load can change the average workload. Use a service model that reflects the expected year rather than one ideal visit.
Payment and admin
Recurring billing, scheduling, customer communication and card fees still consume money and time.
Build a recurring maintenance price
- Estimate average technician time per visit.
- Add average drive time and vehicle cost.
- Add expected chemicals and test supplies.
- Spread periodic filter or deeper-service time across the account.
- Allocate overhead across realistic monthly route capacity.
- Apply payment fees and target retained margin.
- Review the account after enough visits to compare estimate with reality.
When to review an account
Review recurring prices when chemical usage, route time, visit duration or service scope changes materially. Repeated recovery work or excessive filter maintenance is evidence that the original assumptions no longer match the account.
